Correspondence with a clear trail - from file to dispatch report
We prepare, print, insert, register and dispatch correspondence within an agreed scope. The bank or other institution defines the content, approvals and data requirements; we organise repeatable delivery and provide the agreed evidence.
What we can handle
Mailing preparation
Batch completeness checks against agreed parameters, personalisation, printing and automated envelope inserting.
Posting and records
Preparation of ordinary and registered items, posting books and handover to the postal operator.
Status and reports
Dispatch lists, confirmations and returned-mail handling within the agreed process.
How we agree the service
- 01
Scope and responsibilities
We define the mail type, data source, approval points, deadlines, exceptions and authorised contacts on both sides.
- 02
Data and controls
We agree file transfer, access, retention, subcontractors, reporting and incident and complaint escalation.
- 03
Pilot and delivery
We approve templates and parameters before larger volumes. Each batch is reconciled against agreed records and evidence.
Regulatory requirements and audit
The financial institution determines how to classify the outsourced activity and which requirements belong in its agreement. Together we define information access, audit arrangements, subcontracting, continuity and exit terms for the specific service. Correspondence processes do not all have the same regulatory status.
Documents and verification
Company data, our UKE postal-operator register entry and liability policies are available on the registration-data page. Information-security and commercial documents are on the Files page. We discuss technical details and evidence as part of scoping.
